Collect the right details without making the first step hard.

A request for availability is different from a confirmed booking. Your website should make that difference clear.

“We might have twelve people, possibly more, and could visit on either day.” A useful booking enquiry lets that customer describe what they know. For a hypothetical New Zealand private-group activity, forcing an exact party size and taking payment immediately could promise more than the operator has assessed.

Collect enough to make the next decision

The initial request might include the preferred period, approximate group size, activity and a contact. Any additional questions should help staff assess the request. Where the business needs sensitive information later, decide a suitable separate collection step instead of adding it to the first public form.

The acknowledgement should explain that a request has arrived and what staff will review. It should not describe the date as reserved unless the business has actually made that commitment. A customer returning to the request needs to recognise the activity and requested period without searching several messages.

Separate an offer from a confirmed place

Staff assess the supplied capacity and operating rules, clarify missing details and offer an available arrangement. The business decides when that offer expires and what action confirms it. If the customer changes the date or party size, staff must be able to reassess the affected arrangement; an old confirmation link should not silently approve a different request.

Choose the right booking arrangement

An existing booking provider may already support this process. We inspect its actual features, account and plan before proposing a custom tool. Where payment is included, the chosen provider's behaviour and the business's approved terms shape the journey.

Acceptance examples include two submissions of the same request, unavailable dates, a changed group size and a cancelled offer. Bring an anonymised enquiry and the questions your staff ask next. Improve the booking request →
